With multiple crews working across multiple projects, leadership at GRiD needed confidence that inspections were being completed properly and at the right time. Their paper-based system was creating lag between work being completed and signed off. Over time, that lag became a risk.
When paper becomes work
Nathan, HSEQ Manager at GRiD Electrical Services, knows site life well. An electrician by trade, he understands how work actually gets delivered on the ground. In his role he could see firsthand where the old QA system was breaking down.
"It got to a point where we would go to a project, ask to see an ITC for a circuit, and it was chaos. There were thousands of pieces of paper… we’d end up with five people sitting there for two days going through paperwork trying to find it."
Inspection and Test Certificates were stored in folders on site. Documentation was often completed after the work itself. Sometimes the lag was a week, and at other times it was much longer. When QA documentation trails behind the work, accountability drops, and it suddenly becomes a lot harder to know what work was done and when.

Simplifying before digitising
Before adopting CONQA, GRiD Electrical Services took a deliberate approach, forming a committee of supervisors, project managers and site teams to review their existing checklists. Rather than digitising everything as it stood, they stepped back and examined what was truly necessary. Together, they:

✔️ Removed duplicated tasks
✔️ Simplified overly complex forms
✔️ Eliminated checklists that repeated questions covered elsewhere
Only the streamlined, practical inspections were brought into CONQA.
Once digitised, inspections were preloaded onto iPads across projects. Crews now complete QA as the work is carried out. The documentation moves with the job, not behind it.
Real-time accountability across every site
With digital QA in place, every inspection now carries a name and an indisputable timestamp. Project managers and leadership can see activity for each job without having to rely on paper folders or word-of-mouth updates.
Work can now be reviewed from head office, whereas previously that required travelling to site and sifting through handwritten paperwork. Visibility is immediate.

What has changed since using CONQA?
Closing the loop with Issues
A key part of GRiDElectrical Services’ best practice approach is their use of Issues, CONQA’s defect tool. Whenever a checkpoint fails, an Issue is lodged.
Supervisors can quickly navigate to the Issues tab, see what needs attention, and close items out properly. Instead of problems disappearing into paperwork, they are now:
Logged ➡️ Assigned ➡️ Resolved ➡️ Verified ✅
For Nathan, that visibility reduces the need for large reactive audits. While GRiD still conduct quarterly audits as good practice, the system allows him to monitor quality continuously.
Internal ownership and continuous improvement
As the team at GRiD Electrical Services became familiar with the system, internal capability grew.
“Now that I can edit checklists myself I don’t need to bother you guys… I’ve built whole projects on my own. It’s very easy to use, I love it.”
After the first few projects were set up with support, Nathan began building projects independently.
“The first four or five projects, I had CONQA set up, but now I can just do it myself.”
That autonomy allows them to refine and improve their QA processes as projects evolve.
